Microsoft Teams is a chat-centered workspace in Office 365 where all conversations, meetings, files, and notes can be accessed by everyone, all in one place.
To Access Microsoft Teams in FIUmail:
Option 1:
- Log into FIUmail (mail.fiu.edu) using your FIU username and password. Note: If you are a Two-Factor user, 2FA will be required when you log-in. However, you can use the "Remember this device for 48hrs" and you will not be prompted to Two-Factor for the next 48hrs, as long as you are using the same browser.
- Click the menu icon
and select Teams.
Option 2:
- Log on to teams.microsoft.com using your FIU username and password. (Note: If you are a Two-Factor user, 2FA will be required when you log-in.)
To Install Teams Client:
There are a few ways to install the Teams client on your PC/Mac or mobile device:
- Windows machines joined to the Enterprise Active Directory domain can install teams from Software Center (SCCM). IT administrators can also leverage SCCM to deploy the Teams client to multiple machines at once.
- PC/Mac and Mobile users can download and install the Teams client directly from Microsoft.
Please note: If you are a Two-Factor user, 2FA will be required when you configure your account for the first time, change your password, or when your password expires.
How to use Microsoft Teams:

1. Select New chat
at the top of your chat list.
2. Once you've selected New chat
, search the person’s name you wish to chat with and compose your message in the box at the bottom of the chat. To format your message, select
beneath the box where you type your messages.
3. After you have finished composing your message, select Send
.
You can also start a one-on-one chat from someone's profile card. Open it by clicking their picture in a channel or from a search.
- How to start and name a group chat
1. Select New chat
at the top of your chat list.
2. Select the arrow on the far right of the To field and type the name for the chat in the Group name field.
3. Then enter the names of the people you’d like to add in the To field.
This will start a new conversation and everyone who has access to the group chat can send messages.
You can include up to 100 people in a group chat.
- How to see who's in a group chat
1. Hover over the number of participants in the chat header. This will show a list of everyone’s names in the chat.

Faculty and staff can make one-on-one or group calls with anyone within FIU directly from a chat without having to host a team meeting. These calls are private and won't appear in any team conversation, but the entries for the calls will appear in your chat.
To make a call in Microsoft Team:
From your Desktop
- Click on New chat
to start a new conversation.
- Once the new chat appears, type the name or names of the individuals(s) in the To field at the top of your new chat.
- Then click Video call
or Audio call
to start a call (Up to 50 people can be on the same video call).
Note: You can also start a one-on-one call from someone's profile card. Open it by clicking their picture in a channel or from a search.
From your Mobile device
- Click on New chat
to start a new conversation.
- Once the new chat appears, type the name or names of the individuals(s) in the To field at the top of your new chat.
- From a chat, tap Video call
or Audio call
. The person you're calling can answer from their desktop or mobile app.
Note: You can also start a call from someone's profile card. Open it by tapping their profile picture in a channel or from a search.
- Click on New chat

To collaborate one-to-one or in a group within Microsoft Teams:
Select Teams and then click "Join or Create Team"
Select Team Type
Create your Team name (team can be private or public)
Then add people to your Team

The Teams Meeting add-in is automatically installed for users who have Microsoft Teams installed on their machines. Users will see the Teams Meeting add-in on the Outlook Calendar ribbon.
Creating Team meetings in Outlook:
Open the Outlook application.
Select the calendar icon
.
Select the Teams Icon.
Fill out the required fields and select Send.
To Create Teams from Scratch in Teams Client (Desktop):
- Click Teams
button on the left side of the app, then click Join or create a team
Add people to team button at the top right of teams list.
- Add people to team button at the top right of teams list.
- Click Create team Add people to team button (first card, top left corner).
- Select Team Type.
- Name team and add a description.
- If asked, decide privacy level of team:
- To limit content to a specific group of people, select Private.
- For a community or topic that anyone in the organization can join, select Public.
- When complete, click Next.
- Invite people to join new team and click Done, or Skip.
To Create Teams from Scratch in Teams Client (Mobile):
- Tap Teams button at the bottom of the app, then add a team icon in the top right corner.
- Tap + Create a team to create a new team.
- Select Team Template.
- Name the team, add a description, and, if asked, choose its privacy level.
- To limit content to a specific group of people, select Private.
- For a community or topic that anyone in the organization can join, select Public.
- When complete, click Next.
- Invite people to join new team and click Done, or Skip.
Overall Tips:
- Be specific with the name to differentiate the team. Doing so will help to avoid replication and prevent confusion across other teams and departments.
- Choose at least two team owners in case one of the owners becomes inactive.
- Remove inactive team members.
- If working with the same group of people, create a new channel instead of a team.
- To manage team settings, click the dots by team name and select Manage team.
- Within Manage team, under the Members tab, select the Add Member option to add other people to the team. Once they are added, their role can be upgraded to an owner.

What’s the difference between team channels and private chats?

Team channels are places where everyone on the team can have open conversations. Private chats are only visible to those people in the chat.
What’s the difference between public and private teams?

You can choose to set the privacy setting for your team as either "public" or "private". In public teams, any user in the organization can join. With private teams, only team owners can add people to the teams.
Can I collaborate with people outside of Florida International University into my team?

Yes! A team owner in Microsoft Teams can add and manage guests in their teams via the web or desktop. Anyone with a business or consumer email accounts, such as Outlook, Gmail, or others, can participate as a guest in Teams with full access to team chats, meetings, and files. Only people who are outside of your organization, such as partners or consultants, can be added as guests. People from within your organization can join as regular team members.
Can the team members or guests leave the team on their own?

Yes. Any member or guest can leave the team at any time via Teams web or desktop clients.
How do I make sure people in a team or channel see my message?

The best way is to @mention them. Type @ before someone's name and they will get a notification. To get the attention of an entire channel, type @channel before your message and the channel will receive notifications. To get the attention of the entire team, type @team before your message and all your teammates will receive notifications.
What are the tabs in Microsoft Teams?

Tabs allow team members to access services on a dedicated section within a channel or in a chat. Tabs acts as shortcuts for team members to work directly with tools and data and have conversations about them in the context of the channel or chat. Tabs can be added to help users easily access and manage the data they need or interact with the most.
Are my files and conversations in Microsoft Teams secure?

Microsoft Teams is built on the Office 365 hyper-scale, enterprise-grade cloud, delivering the advanced security and compliance capabilities. Data is encrypted in transit and at rest. Can I rename a team?

A team name cannot be renamed after it has been created; however, you can change its display name.
I deleted a team. Can I restore it?

A deleted team can be restored by an Office 365 administrator up to thirty days after the team was deleted.
What should I do if I suspect someone is abusing the Teams Application or posting inappropriate material?

If you do observe inappropriate behavior in Teams you can report the incident to the FIU Information Technology Office by writing an e-mail to abuse@fiu.edu. Please make a note of the time and date of the event and include the details in your e-mail.
